The National Network of Public Health Institutes (NNPHI) is an active network comprised of over forty-member public health institutes located throughout all ten Health and Human Services regions. NNPHI also serves as the National Coordinating Center for Public Health Training (NCCPHT) and hosts an affiliate network of ten Regional Public Health Training Centers (Regional PHTCs) serving all fifty states and US territories. Public health institutes (PHIs) are nonprofit organizations that improve the public’s health by fostering innovation, leveraging resources, and building partnerships across sectors, including government agencies, communities, the health care delivery system, media, and academia. NNPHI and its member institutes work together to implement public health policy and program initiatives throughout the nation. NNPHI offices are located in New Orleans and Washington, DC.
The NNPHI mission is to support national public health system initiatives and strengthen public health institutes to promote multi-sector activities resulting in measurable improvements of public health structures, systems, and outcomes. NNPHI collaborates with its member public health institutes and a wide range of national, state, tribal, and local partners to support public health initiatives. Position Summary:
The Senior Meeting Planner, Event Technology will support the Communications and Convening portfolio while providing both strategic management and tactical operations related to conference registration, abstract management, mobile meeting applications, conference surveys, and conference data and analytics. The Senior Meeting Planner, Event Technology will assist with identifying additional conference support opportunities and continuous process improvement. The Senior Meeting Planner, Event Technology must be able to work effectively and efficiently with all internal portfolio teams as well as a variety of external NNPHI partners. The Senior Meeting Planner, Event Technology will be the subject matter expert on event technology best practices.
Primary Responsibilities:
Event Management
• Plan the technology services for NNPHI events or programs as needed.
• Track individual program budgets to ensure forecast is attained and recorded appropriately
within the Smartsheet and Cvent budget modules.
• Develop and update meeting systems and processes to support NNPHI’s evolving convenings.
• Stay current on new technologies surrounding the meeting industry and be able to report and
recommend as needed.
• Oversee the vetting and selection of abstract management tools including the abstract
management tool for NCTOH.
• Implement the abstract management system for NCTOH providing data management and
organization support to the Program Manager, Tobacco Control.
• Participate in convening planning meetings and meetings debriefs.
• Meet with key stakeholders to review event needs.
• Alert meeting owner of any anticipated program budget variances.
• Build pro-active relationships with meeting owners.
• Train planners or program team(s) on specific processes as needed.
• Work with Finance/Programs on reporting financial data.
• Develop and maintain solid relationships with vendors and partners, working with a wide variety
of personality types.
• Works independently without direct supervision or encouragement while being accountable for
all decisions and projects. Demonstrates creative, proactive thinking, inspired by a vision.
• Processes information quickly and correctly.
• Participates in special projects and performs other duties as required.
Qualifications:
• Requires a bachelor’s level degree and at least a minimum of 7+ years of experience in the travel
industry, specifically in managing meetings/events with an emphasis on technology.
• Excellent customer service skills and relationship management skills.
• Demonstrated track record of successfully managing multiple projects simultaneously.
• Ability to deliver creative outputs in a constricted timeline while maximizing available resources.
• Able to provide clear, concise, effective, and professional communications with clients, peers,
vendors, and program managers.
• Competency and experience with Cvent’s suite of products to include but not limited to:
Supplier Management, Abstract Management, Event Management, OnArrival, Attendee Hub
and Event App. Cvent certification is a plus.
• Competency and experience in the use of relevant software packages (Word, Excel, PowerPoint,
etc.) and can quickly learning and utilizing multiple software and online programs (e.g., Google
Drive, Dropbox, Smartsheet, Salesforce, Zoom, Cvent)
Job Location:
NNPHI maintains two physical offices in, Washington, DC, and New Orleans, Louisiana. We also offer Atlanta-based applicants the option to work remotely. Due to the COVID-19 pandemic, this position will commence remotely. Ultimately, NNPHI requires the position will be based in either of our three locations. Therefore, applicants should indicate their preference to work in NNPHI offices located in New Orleans, Atlanta, or Washington, DC. We will also consider applicants based outside of these locations, but preference is given to the listed locations.
Salary/Benefits:
- Salary range of $75,000-85,000 dependent on education, locality, and experience.
- A highly competitive benefits package is offered to all NNPHI staff.
- 20% travel is required based on location. This could be more or less based on the needs and responsibilities of the role.
