Program Associate, Network Engagement and Convenings

Overview:

The National Network of Public Health Institutes (NNPHI) is an active network comprised of over 40 member public health institutes. Public health institutes are nonprofit organizations that improve the
public’s health by fostering innovation, leveraging resources, and building partnerships across sectors, including government agencies, communities, the health care delivery system, media, and academia. NNPHI and its member institutes work together to implement public health policy and program initiatives throughout all 50 states. NNPHI offices are located in New Orleans and Washington, DC.

NNPHI also serves as the National Coordinating Center for Public Health Training (NCCPHT) and supports nationwide collaboration to build a sustainable and coordinated Public Health Learning Network (PHLN) that consists of ten university-based Public Health Training Centers and 40 local training and education sites. Together, the PHLN is co-creating, modernizing, standardizing, and distributing evenly to all communities and Tribes quality training, tools, and resources that advance the nation’s public health workforce throughout all 50 states, tribal communities and 5 US territories. Position Summary:

The Program Associate supports NNPHI with program administration, logistics management, meeting/event development and implementation, data management and data collection related to convenings and member activities, and general reporting such as meeting evaluations and reports from surveys conducted with NNPHI members. The program associate will support two teams, network engagement and convening.

Location

NNPHI maintains offices in Washington, DC and New Orleans, Louisiana. Additional staff, consultants, members, and partners support NNPHI’s mission from Atlanta, GA and several locations throughout the United States. Due to the COVID-19 pandemic, this position will commence remotely. Ultimately, NNPHI requires this position to be based in either our New Orleans or Washington, D.C. office and requires travel of approximately 15%.  Applicants should indicate location preference in cover letter.

Primary Responsibilities:

Administration

  • Assist with scheduling meetings, conference calls, and webinars.
  • Perform writing and editing, including taking accurate meeting notes and disseminating in a timely manner, composing correspondence, proofing, and laying out documents, and assisting with the publication process.
  • Support financial management, including timely invoicing and reviewing and tracking expense reports.

Data Management

  • Supports convenings with building CVENT registration sites, abstract submission process, web platforms, etc.
  • Support data collection and data management activities related to but not limited to convening abstract processes, convening speaker lists, awards programs, member dues, etc.
  • Support detailed work in Salesforce CRM and Higher Logic
  • Assist Network Engagement and Convening teams with organization of listservs and contacts database.
  • Assist with ‘Requests for Information’, ‘Requests for Qualifications’ and ‘Call for Proposals’ and grant administration processes by updating and maintaining online systems, tracking submissions, and responding to requests for assistance.
  • Assist in preparing reports and presentations, including the development of tables, charts, etc.

Convening Support

  • Supports logistics communications for NNPHI convenings and meetings including but not limited to; schedule speaker prep calls, ensures moderators are supported, arranges all honorarium needs, collects speaker information as needed
  • Answer questions related to NNPHI convening registration, tracks registration by members and proactively markets NNPHI events to members
  • Coordinate with convenings to create members engagement activities, including wellness challenge, community event, receptions and other gatherings at national meetings and other activities as needed
  • Coordinate social media posts to promote NNPHI convenings with Communications, membership benefits, news from the network and communicate information about members.
  • Draft marketing materials alongside Communications and Program Lead
  • Assist with implementation of meetings, trainings, and other events, including coordinating logistics, managing details related to venue, coordinating travel arrangements, serving as a point of contact for participants, preparing meeting materials, and providing on-site support

Programmatic Support

  • Collaborate with NNPHI teams to develop, monitor, and update project timelines.
  • Support project deliverables including the development of trainings, resources and tools.
  • Support data collection and management for program needs

Qualifications:

The Program Associate position requires a Bachelor’s degree with 2+ years of professional experience required; Master’s degree in relevant field preferred

  • Experience coordinating large events/meetings
  • Competency and experience in the use of relevant software packages (Word, Excel, PowerPoint, etc.) as well as comfort with quickly learning and utilizing multiple software and online programs (e.g., Google Drive, Dropbox, Smartsheet, Salesforce, Mail Chimp, Canva, Zoom, Cvent, Higher Logic)
  • Proven ability to effectively manage multiple assignments simultaneously including setting and meeting deadlines
  • Ability to work in a fast-paced, team-oriented environment while juggling multiple projects
  • Sharp attention to detail and capacity to deliver quality work products within tight deadlines
  • Understanding of and interest in public health
  • Experience providing administrative and coordination support for programs
  • Professionalism and sophistication in communications
  • Strong interpersonal skills and an ability to work well with diverse partners and constituents

Salary/Benefits:

Salary range of $45,000- $55,000, dependent on education and experience. NNPHI offers a highly competitive benefits package, including medical/dental/ vision/FSA/ parking/transportation, generous retirement contributions and annual leave.

Travel:

Approximately 15% travel required.
